If you are a first time attendee, there are a few things you’ll want to know.
When you arrive at the host hotel, come by the check-in/registration table to pick up your name badge and event information. Check-in will be available beginning Sunday at 1:00 PM. Someone will be stationed at the check-in table each day to answer any questions you have.
Tickets are required for each meal. Your registration covers meals for the days which you are registered, with the exception of Tuesday night’s Annual Banquet. The annual banquet ticket is only included in the full registration package or if purchased separately. Breakfast is served Monday through Wednesday. A boxed lunch is provided on Monday, and a catered lunch meal is provided on Tuesday during the Traffic Bowl final. Dinner on Sunday night is in the form of hors d’oeuvres in Hospitality Suites. Welcome Reception & ABD Hospitality Event
The Welcome Reception & ABD Hospitality Event is a great time to network and catch up with friends you haven’t seen in a while. We will start at 6:00 PM with cocktails. Following that, a few of our wonderful sponsors will serve a variety of hors d’oeuvres and drinks in hotel suites. All are welcome to attend.
If you are a first time attendee scholarship winner, congratulations! On Monday, during the boxed lunch event, please pick up a boxed lunch in the Exhibitor Hall and meet with members of the various committees (location TBD).
What is the Sunday night hospitality event?
Several of our vendors will sponsor hospitality suites in the hotel, serving a variety of hors d’oeuvres and drinks. All conference participants and spouses are welcome to take part in the event.
What does ABD stand for?
ABD stands for Associated Business Division, and is another term for the exhibitors and vendors that help sponsor the meeting. Please take the opportunity to visit with our sponsors. This conference could not be a success without them!
Where is the ABD Event?
The ABD Event will be held on Monday night at the USS Alabama Battleship.
What is the LAC?
LAC stands for Local Arrangements Committee. These individuals have put in a great deal of effort to make this conference successful. Be sure to thank them if you get the chance! SDITE 2018 Annual Meeting LAC
Why are tickets required for the meals and events?
Tickets help control the cost of the meeting since there are various types of registrations. If you believe you should have received a ticket for a particular event, please visit the registration desk.
What should I do with tickets that I won’t be using?
Please consider returning unused tickets to the registration desk. We would like to provide any extra tickets to student attendees to provide an opportunity to attend events they would not be able to otherwise.
What is the Traffic Bowl?
Love a good game of trivia? The Traffic Bowl is a lively competition that features students from schools in each state competing for scholarship prizes. Please come show the students your support.
Should I attend the Board or Business Meetings?
Board Meetings are typically open to elected officers and delegates only; however, Business Meetings are open to everyone! This is a chance to catch up on the latest developments on the Board and their agenda for the coming year. If you’re interested in learning about the inner workings of Southern District, please consider attending.
How do I reserve a hotel room?
Visit the SDITE 2018 Annual Meeting Hotel page. A block of rooms has been reserved for SDITE at a nominal rate. Be sure to mention the SDITE Annual Meeting for discounted pricing if contacting the hotel by phone. We cannot guarantee room availability at the host hotel. Click on the “Accommodations” tab for more information.
There’s no government room rate on the hotel website. How do I get a government room rate?
The standard negotiated nightly room rate for the SDITE Annual Meeting room block is $149.00 per night (does not include taxes or parking). The government nightly room rate is $93.00 per night (does not include taxes or parking) and is reserved for those who are verifiably employed by a government agency.
All room reservations for our room block are required to be made at the standard negotiated nightly room rate. After making your room reservation, if you are eligible for a government room rate, you will be able to submit a request to the LAC to contact the hotel to have your standard room rate reservation to a government room rate reservation. Names submitted to the LAC for conversion to the government room rate are subject to verification of eligibility to receive hotel government room rates.
The reason for this procedure is to proactively prevent government room rates in our room block from mistakenly being reserved by meeting attendees not employed by a government agency.
What time should I arrive at the hotel?
If you are not participating in the Sunday golf event, we recommend arriving at the host hotel on Sunday afternoon. There will be a brief informal welcome & networking reception, followed by an opportunity to take part in the hospitality event.
Where can I park?
Valet and self-parking will be available at the host hotel.
